AI Essentials: Your First Useful Business Workflow · Lesson 1
This public sample is part of a mini course in development. It does not enroll you or save your progress.
Goal
Describe one repeatable task, a measurable result, and the person who checks the output.
Explanation
Start with a small task you can test with synthetic information. A useful workflow has a clear input, a specific output, and a review step. Avoid delegating decisions about payments, hiring, safety, or technical approval to an unsupervised model.
Worked SME example
A fictional building-supplies shop receives repeated delivery enquiries. The task is to prepare a draft reply using an approved delivery policy. The result is a draft containing the requested items, location, missing details, and a question for the customer. A staff member confirms availability and price before sending.
Record your current drafting time for five synthetic enquiries. Test the workflow on the same five examples. Compare review time, incorrect statements, and missing details. A faster draft is useful only if the checked answer remains accurate.
Engineering administration example
A fictional contractor needs an RFI register entry from a synthetic site note. Keep the drawing reference, revision, location, quantity, unit, open question, and responsible reviewer. Mark absent details “NOT PROVIDED.” Do not infer dimensions or approve a design change. A qualified reviewer checks technical interpretation and the final submission.
Guided practice
- Name one recurring task.
- List the approved source information it needs.
- Describe the exact output format.
- Set a test measure: time, completeness, or checked error count.
- Name the human reviewer and the actions requiring their approval.
Your task
Write: “For [task], use [approved inputs] to produce [output]. We will compare [measure] across five synthetic cases. [Reviewer] must approve [action].”
Verification
- Can another person understand the input and output?
- Can you measure the result without inventing a baseline?
- Are missing facts flagged instead of guessed?
- Is the approval step explicit?
- Have you kept personal and confidential data out of the exercise?
Quick check: should a draft reply be sent automatically?
No. First verify it against the approved sources and obtain the responsible person’s approval. Draft generation does not authorize external action.
